What data do we collect?
The Ollerod collects the following data:
- Personal Identification Information – Name, email address, and telephone number (when provided via inquiry forms or newsletter sign-ups).
- Inquiry & Communication Details – Messages, questions, or comments sent to us through our contact forms.
- Technical & Website Usage Data – IP address, browser type, operating system, and interaction data collected automatically via cookies and analytics, but only for the categories of cookies you consent to.
- Cookie Consent Data – A record of which cookie categories you have accepted or rejected, and when, so we can honour your preference and demonstrate compliance if asked. This does not identify you personally.
How do we collect your data?
You directly provide The Ollerod with most of the data we collect. We collect data and process data when you:
- Submit an inquiry, contact form, or sign up for updates on our website.
- Voluntarily complete a user survey or provide feedback via email or website forms.
- Use or view our website via your browser’s cookies.
How will we use your data?
The Ollerod collects your data so that we can:
- Respond to your general inquiries, feedback, or requests for information.
- Email you with news, special offers, and updates about The Ollerod (if you have opted in to receive marketing).
- Analyze website usage to improve site performance, design, and user experience.
What is our legal basis for processing?
Under UK/EU GDPR, we only process your personal data when we have a valid legal basis to do so:
- Consent – For non-essential cookies (analytics and marketing) and for marketing emails, we rely on your freely given, informed consent, collected via our cookie banner or sign-up forms. You can withdraw consent at any time.
- Contract – Where processing is necessary to respond to a booking enquiry or request you have made.
- Legitimate interests – For strictly necessary cookies and basic technical logs needed to run, secure, and maintain the website, where this does not override your rights and freedoms.
How do we store your data?
The Ollerod securely stores your digital data on encrypted cloud servers and secure website databases protected by strict access controls and security protocols.
We keep your personal inquiry data only for as long as necessary to answer your query or fulfill your request. If you subscribe to our newsletter, we retain your email address until you choose to unsubscribe. Once data is no longer required, we securely delete or permanently anonymize it.
Your cookie consent choice is stored for up to 6 months, after which we will ask you again. Analytics and marketing cookies you have consented to are retained according to the durations listed in the cookie table below, and are automatically cleared if you later withdraw consent.
Marketing
The Ollerod would like to send you information about news, events, menu updates, and promotional offers that we think you might like.
If you have agreed to receive marketing communications, you may always opt out at a later date.
You have the right at any time to stop The Ollerod from contacting you for marketing purposes. If you no longer wish to be contacted for marketing, please click the unsubscribe link in any marketing email or contact us directly.
What are your data protection rights?
The Ollerod would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
- The right to access – You have the right to request The Ollerod for copies of your personal data. We may charge you a small fee for this service.
- The right to rectification – You have the right to request that The Ollerod correct any information you believe is inaccurate. You also have the right to request us to complete information you believe is incomplete.
- The right to erasure – You have the right to request that The Ollerod erase your personal data, under certain conditions.

If you make a request, we have one month to respond to you.
Cookies
Cookies are small text files placed on your device to collect standard Internet log information and visitor behavior information. When you first visit our website, a cookie banner asks you to choose which categories of cookies you're happy for us to use. Nothing beyond strictly necessary cookies is set until you consent. For further general information, visit allaboutcookies.org.
How do we use cookies?
The Ollerod uses cookies to run our website, and, only with your consent, to improve your experience and understand how the site is used, including:
- Keeping the site secure and remembering your cookie preferences.
- Understanding how you use and navigate our website.
- Measuring the effectiveness of page layouts, content, and marketing campaigns.
What types of cookies do we use?
There are a number of different types of cookies. Our website uses the following categories, which you can accept or reject individually via the cookie banner or "Cookie Settings" in the footer:
Analytics and marketing cookies are only set by the corresponding scripts once you have actively consented to that category. They are never loaded beforehand, and are removed automatically if you later withdraw consent.
Google Consent Mode
We use Google Tag Manager to load Google Analytics and other tags, alongside Google's Consent Mode (v2). This means those tags are told your consent status before they run: by default, analytics and advertising storage are set to "denied" for every visitor. If you accept the relevant cookie categories, that signal is passed to Google and the tags are allowed to store cookies and use your data for that purpose; if you reject or later withdraw consent, Google is instructed to operate in a consent-denied, cookieless mode instead. The same consent choice is used to gate the Meta Pixel for marketing cookies.
How to manage cookies
You can change your cookie preferences at any time using the "Cookie Settings" button in the website footer, which reopens the preference panel. You can also set your browser not to accept cookies; the website linked above tells you how to remove cookies from your browser. However, in a few cases, some website features may not function as intended if you block strictly necessary cookies.
International data transfers
Some of the third parties we use for analytics and marketing (such as Google and Meta) may process data outside the UK/EEA, including in the United States. Where this happens, we rely on their compliance with recognized safeguards such as the UK International Data Transfer Addendum or EU Standard Contractual Clauses, and equivalent adequacy protections, to ensure your data continues to receive an appropriate level of protection.
Children's privacy
Our website is not directed at children, and we do not knowingly collect personal data from anyone under the age of 16. If you believe a child has provided us with personal data, please contact us so we can delete it.
Privacy policies of other websites
The Ollerod website contains links to external websites, including our third-party booking engine. When you check availability, the live availability check on this site does not itself collect or store any personal data, but if you proceed to book, you leave our website and continue on the booking engine's own site, which is operated by a separate provider. Our privacy policy applies only to theollerod.co.uk; the booking engine's own privacy policy governs any data you provide there, so please read it before completing a booking.
Changes to our privacy policy
The Ollerod keeps its privacy policy under regular review and places any updates on this web page. This privacy policy was last updated on 24 August 2026.
